University of Colombo collaborates with Google LLC, offers G Suite for all faculty, students, and staff to simplify their digital life. G Suite is an online work environment that can access from a computer with an internet connection and a web browser, on most operating systems. All University of Colombo members are privileged to access a wide range of Google Suite apps and services by login it with their university email address. This service facilitates unlimited email storage, access to the Google Drive, Google Sheets, Google Slides, Calendar, Google Sites, Google Classroom and Google Forms, etc.

This is the University of Colombo’s official email system and you can access it on the web browser or on your mobile device using the Gmail app. All university full-time students, permanent staff members are eligible to access this service and the students are given an email with the format of student_id@stu.cmb.ac.lk. The staff members are given an email based on their name and the department. The format would be name@department.cmb.ac.lk.

Gmail lets you attached files up to 25 MB in size. If the attached file is larger than 25 MB in size, it gets uploaded to Google Drive and Gmail places a download link to the file in the body of the email.

How to login to my Gmail Account?

  • If you are using a web browser, click on the above “Sign in to Gmail” button. Then, Enter your email address and the password. Now, you will be able to log in to your email inbox.
  • If you wish to use the Gmail app on your mobile device, you need to install the app according to your mobile device’s OS.
  • If you are a new user in the university email system, you will be asked to change the password at the first login session.

How to request a new Email Address?

Full-time students will be receiving an email account from the faculty/institute/school/campus administration during the course orientation period. Staff members can request an email address by contacting their IT co-ordinator from here.

How to add a recovery email/ phone number?

  1. First, log in to your email account. Click the “Settings” icon at the top, then select “See all settings” in the Quick Settings menu.
  2. Next, you will see the “All Settings” page. Click on the “Accounts” tab at the top, then select “Google Account Settings.”
  3. You will then be redirected to your “Google Account” page. Click on the “Security” tab on the left, and then select “Protect Your Account.”
  4. After clicking on “Protect Your Account,” the following page will appear.
  5. When you click the “Add” button next to “Phone Number,” you will be prompted to enter your email password for verification. Enter your password and click the “Next” button.
  6. Next, enter your recovery phone number in the provided window. Once you’ve entered the number, the “Next” button will be enabled. Click the “Next” button to continue.
  7. When you click the “Next” button, a 6-digit verification code will be sent to the recovery phone number you entered. Then, click the “OK” button in the following window.
  8. Enter the verification code you received on your mobile in the provided window, then click the “NEXT” button.
  9. If you entered the verification code correctly, a “Success” message will appear. Click the “DONE” button to complete the process.
  10. You will then see that your mobile number has been added to your email account as a recovery method. To add a recovery email, click the “ADD” button.
  11. Next, enter your recovery email in the provided window. Once you’ve entered the recovery email, the “Next” button will be enabled. Click the “Next” button to proceed.
  12. When you click the “Next” button, a 6-digit verification code will be sent to the recovery email account you provided. Enter the verification code in the following window and click the “NEXT” button.
  13. After clicking the “NEXT” button, you will receive a notification confirming that your recovery email has been successfully added. Click the “DONE” button to complete the process.

How to reset email password?

To reset your email password, you should have set up a recovery email/recovery email phone number to your email account as per the previous steps. If you have already added a recovery email/recovery email, then you can reset your email password as follows. If not, please contact the Network Operations Centre through your faculty/institute IT coordinator to reset your email password.
Go to the email login page. Click on the “Forgot password” link.

If Google has sent a notification to your recovery phone number

  1. You will be prompted with a screen following this step.
  2. You will receive a notification on your phone. Click “Yes, it’s me” to proceed.
  3. Then, return to your browser and click on the “Update Password” link to reset your password.
  4. Enter your new password in the “Create Password” section. The password must be at least 8 characters long. Then, re-enter the password in the “Confirm” section. Finally, click the “Save Password” button to complete the process.
  5. You will then be notified about the devices where you’re currently logged in. Click the “Change Password” link to continue.
  6. Next, you will see the following page. Click the “Continue to Gmail” link, which will redirect you to your Gmail inbox.

If Google sends a notification to your recovery email account

  1. You will receive a verification code in your recovery email. Enter that verification code in the provided window and click the “Next” button.
  2. You can then reset your password by clicking the “Update Password” link.

This is the official University of Colombo’s calendaring system. It provides schedule social and academic life, creates personal calendars, shares appointments, and invite colleagues and friends to events.

You can sign in to the Google Calendar by clicking on the above “Sign in to Google Calendar” button or if you already logged in to your Gmail account in your web browser, you can navigate to the Calendar by clicking the 9 dots icon on the top right corner.

If you wish to install the Google Calendar app on your mobile device, you need to install the app according to your mobile device’s OS.

These apps facilitate collaboration, share feedback, and work together in real-time on documents, spreadsheets, and presentations, etc. Once you log in to your Google Drive you are able to create new documents as shown in the following figure 1.
